Protecting your RCV meetings on RingCentral app desktop and web

When you schedule your meeting, you will have the option to configure specific video meeting security options to protect your meeting from those who try to join without an invite.

Accessing RingCentral Video meeting security options

  1. Navigate to Settings via the left-hand navigation bar.
  2. Select the Video tab from the left pane.
  3. Click Edit at far right of Personal Meeting ID.

RingCentral Video meeting security options

The following options allow you to protect your meeting:

  • Use Personal Meeting ID for instant meetings: Modify your Personal Meeting ID (PMI) for others to use to join the meeting instead of the default meeting ID when starting an instant meeting.
  • Require password: Require a password to enter the meeting.
  • Set password: Edit your default password. See the list below for password policy:
    • The password must be at least 1 to 10 characters long.
    • It must contain characters from the following categories: uppercase characters (A-Z), lowercase characters (a-z), digits (1-9).
    • Please note that participants who join the meeting by clicking the invitation link can automatically join without the meeting password. However, participants who join the meeting via the meeting ID will be asked to enter a password.
  • Participants can only join after host: Once enabled, participants need to wait for the meeting host before they can join the meeting.
  • Enable waiting room: Create a waiting room that participants will stay in until the host admits them. The host can set the waiting room to one of the following: Everyone, Anyone outside my company, or Anyone not signed in.
  • Advanced settings: Click the arrow to expand the following advanced settings:
    • Only authenticated users can join: Allow only authenticated users to join your meeting. Options include Off, Signed in co-workers, and Signed in users.
    • Turn off camera for participants: Turn off the camera for participants when they enter the meeting. Keep in mind that they can still turn their camera on at any point during the meeting.
    • Mute audio for participants: Mute participants when they enter the meeting. Keep in mind that participants can still unmute their audio at any point during the meeting.
    • Only host & moderators can share screen: Allow only you (the host) and moderators to share screen in a meeting.

Scheduling a RCV meeting with end-to-end encryption on RingCentral app desktop and web 

End-to-End Encryption (E2EE) is a feature that protects your video meeting content by making them accessible to participants only. With E2EE enabled, even if our RingCentral cloud is fully compromised, the attacker still won’t be able to access your data.

With the End-to-End Encryption feature of the RingCentral app, you can:

  • Ensure that only your participants can access meeting content.
  • Manage the confidentiality of audio, video, and chat during the meeting.
  • Protect your meeting contents even from service providers.

Anyone who has RingCentral login credentials will be able to join E2EE meetings. However, only users who belong to paid accounts can initiate E2EE meetings. This includes both free and paid users in those accounts. Scheduling and starting ad-hoc E2EE meetings are not available for free accounts.

Note: Users will not be able to join by telephone

Scheduling a meeting with E2EE

  1. Navigate to Video via the left-hand navigation bar.
  2. On the Meetings page, click the Schedule button at the top of the page. This will open the Schedule a meeting window.

Schedule a meeting

  1. Schedule a meeting as you normally would. To learn more, visit Scheduling a RingCentral Video meeting in the RingCentral app desktop and web.
  2. Check the Use end-to-end encryption box under the Advanced settings.

Enable End-to-End Encryption

  1. Click Schedule.
Note: Once E2EE is enabled, you will see a green shield icon at the bottom-left of the screen while in an end-to-end encrypted meeting

Protecting your RingCentral Video meetings on RingCentral mobile app

As the meeting host, you can do the following things to protect your RingCentral Video meetings:

RingCentral Video meeting security options via the Personal Meeting ID settings

  • Use PMI for instant meetings: This is a specific Meeting ID that you can use for all your meetings. Once enabled, tap on this field if you want to customize your Personal Meeting ID (PMI). This ID should be 9 digits for RingCentral Video.
  • Password required: Toggle on if you’d like to require a password entry before any participants can join your meeting. When this setting is enabled, tap on this field to set an alphanumeric password for your meetings. For iOS devices, the Password field will appear underneath. For Android devices, the Password required window will pop-up once enabled.  You can change the password if you want. Tap Save once done. See the list below for password policy:

    • It must contain characters from the following categories: uppercase characters (A-Z), lowercase characters (a-z), digits (1-9).
  • Participants can only join after me: Once enabled, participants need to wait for the meeting host before they can join the meeting. To learn more, visit Allowing others to join before host in a RingCentral Video meeting on RingCentral mobile app.
  • Enable waiting room: Once enabled, participants can’t join a meeting until the host admits them individually or admits all of them from the waiting room. The host can set the waiting room to one of the following: Anyone outside my company, Anyone not signed in, or Everyone. To learn more, visit Using a waiting room in RingCentral Video mobile.
  • Only signed-in users can join: Enable this option to allow only signed-in users to join the meeting.
  • Only signed-in coworkers can join: Enable this option to allow only signed-in contacts from your organization to join the meeting.
  • Only hosts can share screen: Enable this option to allow only you (the host) and moderators to share their screen during the meeting.
