Microsoft Teams meetings are an excellent way to collaborate one-on-one or with a small group of coworkers. While you can always start a new meeting directly from Teams at any time, there may be occasions where you want to schedule a Teams meeting in advance.

Your calendar in Microsoft Teams is connected to your Outlook calendar, so you can schedule a Teams meeting in either program. This article will cover the basics of scheduling a Teams meeting, both from within Teams itself and from Outlook.

 

Scheduling from Teams

Within a Chat

To schedule a meeting from a Teams chat, click the Schedule a Meeting icon, located below the box where you type your messages. This will schedule the meeting with all the participants in the chat.

From the Calendar – New Meeting

Select the Calendar icon Meetings button from the left side of the Teams app to open the calendar, then click the New Meeting button in the top right corner.

 

From the Calendar – Select a Time Range

Select the Calendar icon Meetings button from the left side of the Teams app to open the calendar.  The Teams calendar can display the current day, work week, or week, and will always present any given day with the time on the left side. You can schedule a meeting by clicking on the time slot on the day you want the meeting to occur to schedule a meeting for that time. You can also click a time and drag the mouse cursor down to select a time range, and the new meeting will be automatically scheduled for the range you selected.

 

Teams Scheduling Form

No matter how you decide to schedule a meeting, you will be taken to the Scheduling Form. This is where you enter all the details of the meeting like the title, invite additional participants, and add meeting details. If necessary, you can click Scheduling Assistant at the top of the Scheduling Form to make sure you’re choosing a time that works for every participant in the meeting. Click Save (or Send) once you’re done entering the meeting details to save the meeting to your calendar and send an invitation to all participants.

Scheduling from Outlook

To schedule a Teams meeting in Outlook, open your Calendar by selecting its icon in the lower left corner of the Outlook window.

 

New Meeting

You can turn any Outlook meeting invitation into a Teams meeting while you’re creating the invitation. Select New Meeting from the top of the Outlook app. In the Meeting invitation window, select Teams Meeting from the top toolbar to turn the invitation into a Teams meeting. Add your invitees to the Required or Optional fields, then add other details like the subject, location (if applicable), start time, and end time. Then enter a message to go along with your invitation and select Send.

 

New Teams Meeting

Select New Teams Meeting from the top of the Outlook app. In the meeting invitation window, add your invitees to the Required or Optional fields, then add other details like the subject, location (if applicable), start time, and end time. Then enter a message to go along with your invitation and select Send.
