Why does IT not like me using Google Docs (or Dropbox) ?

  • Ultimately, its because we can't help you recover any data should anything happen to the document. That requires a level of licensing that we do not currently have with Google, as this would fall under Business (also known as Enterprise) licensing model. That's just the tip of the iceberg. It's also a potentially huge security risk to your customer's data and privacy.

What do you mean you can't support it?

  • We can't see any version history of the document or if someone deletes something we can't help recover it, since its not living in our ecosystem. We in IT have been working diligently to get Office 365 and its accompanying cloud services ready, as we heard why you like using it: ease of sharing and collaboration. 

You mentioned security risk, that sounds scary...?

  • As it should! A lot of times we have seen users store customer information like addresses and phone numbers, sometimes there might other info like birthdays or anniversaries. This information on it's own is innocuous enough,  but if the document was breached and the information copied, it can lead to it being used in a malicious manner. Or used with other data infiltration methods to get data from all sorts of sources to compile together and get a complete picture of the user (again with other data)

You said you were working on making this easy for us?

  • We in IT have been working diligently working through Microsoft to bring you the same cloud features you love about Google Drive, but in a secure manner where we are protecting our user's data and anything proprietary to PRM.

 

Why IT loves Microsoft and OneDrive FAQs

The first question is, why does IT love OneDrive so much and wants us to use it so badly?

  • A lot of it has to do with again security and what we can control for you. We want you to have the best experience possible, but we also keep data security in mind. Technology compliance might be new for you, but we here in IT have been making sure that we are keeping things complaint on our end so we can keep that hard part out of your hair but still make it easy for you to work effectively and efficiently.

You mentioned that you don't like personal OneDrive. How do I know which one I have?

  • The easiest way to tell will be the icon that is launched. There are typically two "cloud" icons. The white cloud is for personal Microsoft Accounts (aka MSA) and the blue cloud is the OneDrive for Business icon, which we are using. If you are on the work network (either at a branched location or on the VPN) it should log you in automatically. If you aren't on the work network you will be asked to sign in and should have the PRM login screen.

Why do we use OneDrive for Business/Office Online instead of Google?

  • Back in 2018 one of our branches suffered a breach and it was linked to the google doc/account being breached and accessing their work information as they were keeping client data in Google Sheets as it does let users EASILY collaborate on the same document at the same time. This resulted in a fine for the company. We quickly implemented SharePoint and laid the backbones for Teams to help drive the adoption of Office Online which had the same capabilities as Google Docs/Drive.

I didn't know we could be fined for not using the right tools!?

  • We in IT want technology to aid you in your job. We aren't usually requiring the use of certain tools unless it was to our benefit. Mostly when we are fined it has to do with not protecting our customer's data.
