Hot desk phones are phones located, as you might expect, at a hot desk. Like the hot desk itself, a hot desk phone is intended to be used by whoever is occupying its desk at the moment. Since hot desk phones are shared, it’s important to follow the below guidelines so everyone has the best experience possible.
Using a Hot Desk Phone
Logging in
- Press the Login button on the phone’s button panel or Dial *90.
- Use your phone extension and RingCentral PIN to log in. Note: If you do not know your info, please see this article before reaching out to the helpdesk =)
- Congratulations; you’re logged in! This phone will now automatically be added to your call flow.
Logging Out
There are two ways to log out:
- Press the Logout button located on the phone’s button panel by pressing More, followed by Logout.
- You can also dial *90 a second time to log out.
Hot Desk Phone Etiquette
Please always remember to log out at the end of your work session so that your call flow only includes phones you can answer. Logging out ensures that the next person to use the hot desk phone has a smooth experience logging in themselves.
At the end of your work session, please also use the provided cleaning wipes to sanitize the phone’s buttons and handset. While you’re at it, it’s also a good idea to sanitize the keyboard, mouse, and the desk and other surfaces. Sanitizing the work surfaces, phone, and computer peripherals will reduce the spread of germs and give the next person to use this desk the best experience possible.
Please DO NOT use the cleaning wipes on the monitors! If you would like to clean off your monitors, please contact IT for specialized monitor wipes. The provided wipes ARE NOT MEANT FOR SCREENS. Using the wipes on the screens could strip the protective film or cause scratch damage to the monitor. With monitors being in short supply, we all need to be mindful of the shared space and resources.
