A Virtual Private Network (VPN) is a specialized, secure type of network connection that extends a private network across the internet and allows users to send and receive data as if their computer were physically connected to it. In PRM’s case, that private network is the Local Area Network (LAN) in our branch offices. In other words, the VPN brings the company network to you wherever you are.

 

How to Use the VPN

To connect, just launch the SonicWall NetExtender from your desktop and sign in using your Windows password. See Connecting to the SonicWall VPN (PRM VPN) for more information.

What You Need It For

When you work remotely, many of the resources you need to do your job are available over the internet. Things like Microsoft 365, SharePoint, RingCentral, and Salesforce all reside in the cloud, and are accessible from any network. However, some other resources like shared folders and certain computer functions are only available from the corporate LAN, and thus, when you’re not in the office, the VPN.

Accessing Shared Folders

The shortcuts in PRM Folders on your desktop are only accessible if you’re in the office or connected to the VPN. This can include your S Drive, the Scans folder, Faxes folder, Work folder, or your Scorecard. This can also include any folder shortcuts the IT Department has added for you, such as Team folders.

Changing Your Password

The VPN is also required if you need to change your Windows password. Your password expires every 120 days, and you need to be able to change it to reset that timer and continue to access your computer and accounts. Changing the password is only possible by connecting to the corporate LAN, so you need to connect to the VPN if you’re changing your password remotely.

Getting Important PC Updates

One of the most important reasons to connect to the VPN is for updates. The IT Department releases windows updates, software updates, and critical security patches via the corporate LAN, so your computer either needs to be in the office or connected to the VPN to get them. Similarly, the Software Center, where you can go to update or install business-critical software is only available via the LAN or VPN. In general, if you find that you can’t access something, you might need to connect to the VPN.

 

How Often to Connect

One Full Week to Start

When you’re first starting at PRM, or when you’re just starting to use a new computer, we recommend that you connect to the VPN every day for the first week. After that, you only need to connect to the VPN one day per week or whenever you need to access something that requires it.

After That, At Least Once A Week

We ask that you try to connect to the VPN at least once a week if you work remotely, mainly due to the updates and patches noted above. You’ll get an email from the IT Helpdesk if your computer hasn’t been connected to the VPN or otherwise seen on the corporate LAN for a couple of weeks. If you get that email, please connect to the VPN as soon as possible.

Make It a Habit

It's by no means required, but it doesn’t necessarily hurt to connect every day you’re working remote. Whatever you can do to stay in the habit of connecting to the VPN on a regular basis will help you keep your computer as up to date and safe as possible.
