Using RingCentral Video Controls

Attendees in a RingCentral Video meeting can access the following controls via the bottom bar during a meeting:

    • Virtual background: Enable Virtual Background to display an image or video as your background during a meeting.
    • Presentation mode: Enable presenter overlay in Presentation Mode to place your video over the screen you’re sharing.
    • Enable closed captions: Enable closed captions. Closed captions are visually displayed on the bottom of the meeting screen to provide a better, more inclusive meeting experience by presenting real-time meeting discussions.
    • Settings: Configure your video meeting settings.
    • Send feedback: Report a problem or give feedback on your meeting session.
    • Submit feature idea: Suggest a feature idea for RingCentral Video.
    • Help: Open the RingCentral support webpage.
  • Leave: Leave the meeting.

Viewing participants in RC Video

During an ongoing RingCentral Video meeting, participants may check who else is in the meeting. The main screen in RingCentral Video displays up to 16 or 25 participants at a time.

There are several ways to view participants in a meeting: the gallery or film strip view. If there are more than 16 participants in your meeting, you can flip to other pages with the overflow participants that didn’t fit on the first page.

The Gallery view displays all the participants on the screen, then individually highlights the participant speaking. This is the default view upon joining a meeting.

If you want to see all the meeting participants while in a meeting, click the drop-down button at top right and select the Gallery view four-window icon.

The gallery view can display more than the usual 16 participants. You can display up to 25 participants. 

  1. While in a meeting, select More via the bottom menu bar.
  2. Click Settings.
  3. Set the max visible participants to 25 using the slider.

Note: Up to 25 participants are shown when using the gallery view but will be adjusted to 16 when sharing your screen. When you are viewing a shared screen, the participants will appear beside the shared screen.

Viewing participants in film strip view

The Film strip view displays the active speaker at the center, then displays the other participants at the top. When viewing a shared screen in film strip view, the shared screen will be at the center instead of the active speaker.

Viewing participants via in-meeting controls

To see the list of participants, click Participants via the bottom menu bar.

In the participants window, you can see the names and total number of participants in the meeting. 

 

If more devices are connected to your meeting than participants, the actual number of participants is provided to the host in the bottom bar and the participant list.

Inviting others to join a RC Video meeting

  1. Navigate to Video via the left-hand navigation bar.
  2. Select Start.
  3. Choose how you’d like to join the meeting audio.
  4. Click Invite via the bottom menu bar.
  5. Select how you’d like to invite the user.

Meeting invite options

When you’re inviting a user to your current RingCentral Video meeting, you’ll have the following invitation options:

  • Copy meeting link: Copy the meeting URL and send it to other people.
  • Copy meeting invite: Copy the meeting invitation and send it to other people.
  • Invite by phone: Enter a phone number, and then click Call. The attendee will then join the meeting as an audio call.
  • Invite by email: This opens up your default email app with the meeting details in the message field. Enter email address(es) in the To field, and then send.

Using chat in RC Video meetings

This article provides instructions on how to send, view, and respond to chat messages during RingCentral Video meetings. The in-meeting chat allows the meeting participants to communicate with the host or other participants via chat. 

With the in-meeting chat, you can send a public chat to everyone in the meeting, or a private chat to individual participants.

Sending an in-meeting public chat 

To send public messages to everyone in the meeting, follow these steps:

  1. Click Chat in the bottom menu bar
  2. If you are the host or moderator of the meeting, make sure Everyone to chat is selected next to Allow
  3. Type your message in the Message to everyone field and press Enter on your keyboard

Sending an in-meeting private chat

To send private messages to a specific person in the meeting, follow these steps:

  1. Click Chat in the bottom menu bar
  2. Click the Privately tab
  3. In the Chat with field, enter the name of the person you want to chat with in the meeting
  4. Click the person’s name
  5. Type your message in the Message to (participant’s name) field and press Enter on your keyboard

Switching your RingCentral Video camera

Switching cameras before a meeting in the RingCentral app

  1. Within the RingCentral app, navigate to Settings via the left-hand navigation bar.
  2. Select the Video tab in the left pane.
  3. Click the Edit button at the far right of Video meeting settings.RingCentral Video settings

  2. Choose your preferred camera from the dropdown menu under the camera preview.
  3. Click Save.

Switching cameras during a meeting

There are two methods you can use to switch cameras during a meeting.

  1. In a meeting, click More from the in-meeting controls, and then select Settings.
  2. In the Settings modal window, select the Video tab in the left pane.
  3. Choose your preferred camera from the dropdown menu below the camera preview.
  4. Click Save.

  1. In a meeting, click the up-arrow icon beside the Start/stop video icon via the bottom menu bar.
  2. Select your preferred camera from the list.

Sharing your screen

You can easily present during a RingCentral Video meeting by sharing your screen with a click of a button as long as you have permission from the host.

Note: You cannot share your audio when sharing your screen. The only way to share audio is by navigating to v.ringcentral.com and joining a meeting through RingCentral Video web.

  1. Click on the Share button via the bottom menu barTap share screen
  1. Select which screen you want to share. You can share your entire screen or any of the application tabs you have open.
  2. Click Share.
  3. Click Stop share to stop screen sharing.

You can also turn on Do Not Disturb while screen sharing from the video settings General menu on Windows and Settings > Video on Mac. Do Not Disturb (DND) while screen sharing lets you turn off notifications while in presentation or screen share mode. This helps protect your privacy and prevent distractions when sharing your screen. To learn more, see Do Not Disturb while screen sharing.

Optimizing screen share for video in a RingCentral Video meeting

You can screen share videos by optimizing screen share for your video. When Optimize for video is enabled, the frame rate of the screen share will increase to improve video quality and motion smoothness.

Note: This option is only available for the RingCentral desktop app.
  1. Click on the Share button via the bottom menu bar.
  2. Select which screen you want to share. You can share your entire screen or any of the application tabs you have open.
  3. Tick the Optimize for video box.
  4. Click Share.
  5. Click Stop share to stop screen sharing.

Sharing your computer audio

When hosting or joining a meeting via RingCentral Video web (v.ringcentral.com), you can share your computer audio via screen sharing. This feature is only available on RingCentral Video web and is not yet available for the RingCentral app.

Note: When using RingCentral Video web, you can only share your audio by selecting the Entire Screen or Chrome Tab tabs in Windows, and only the Chrome Tab tab on Mac.

  1. Click on the Share button via the bottom menu bar.
  2. Select which screen you want to share under the Entire Screen or Chrome Tab tabs.
  3. Check the Share audio checkbox.
  4. Click Share.

Note: Sharing your computer audio with the Entire screen tab is currently only available for Windows. For Mac users, you must select the Chrome tab in order to share your presentation audio.

Raising your hand

During a RingCentral Video meeting on desktop and web, participants can raise their hand to get the attention of the speaker, host, or moderator. All participants in the meeting can use the raise hand feature.

Note: The raised hand notification will not be dismissed until the participant who raised the hand, host, or moderator lowers the hand.

  1. During a meeting, click the Raise hand button at the bottom toolbar.

  1. After raising your hand, the button will change to Lower hand, which you can click again to dismiss the notification.

  1. Alternatively, you can wait for the host or moderator to lower your hand.

Viewing participants who raised their hands

You can see the participants who raised their hands by clicking Participants at the bottom toolbar. The Participant list will display everyone who raised their hand.

Using Closed Captions

RingCentral Video Closed Captions are designed to help participants with hearing impairment, different levels of language proficiency, or for those joining a meeting with a lot of background noise. To get the best quality from Closed Captions:

  • Use a headset microphone,
  • Pronounce your words as clearly, and 
  • Speak slowly and evenly.

Enabling Closed Captions

  1. Click the More icon from within the meeting window.
  2. Select Enable closed captions.

Once enabled, the conversation will initially display at the bottom of the meeting. You can then pin or unpin the closed caption text box. All text will appear next to the speaker’s name. The text will disappear from the screen shortly after another person speaks.

  1. Hover over the closed caption text box
  2. Click Font size.

Pinning/unpinning the closed caption text box

You can pin/unpin the text box by hovering over the closed caption text box, and then click Unpin/Pin. When the text box is unpinned, you can resize the closed caption text box accordingly and drag it to different parts of the screen.

Disabling Closed Captions

  1. Click the More icon from within the meeting window.
  2. Select Disable closed captions.

  1. Click the up arrow next to the Mute icon to expand the Audio Settings menu.
