Joining via the desktop app and web
You can use the RingCentral app to join a video meeting. Additionally, when it’s time to join a scheduled meeting, the app will notify you when a meeting has started, ensuring you’re always on time for your meeting.
You can join a meeting that has been scheduled either by you or another user in the RingCentral app. You can also sync your Outlook calendar with the RingCentral app so all your scheduled meetings are in one place, allowing you to join any meeting without leaving the app.
If you have synced your calendar, scheduled meetings will appear in the Meetings page, which acts as the homepage of the Video interface. When you navigate to this page, you can join a scheduled meeting by
- clicking the Join button via the meetings dashboard,
- clicking the Join next to a scheduled meeting in your meetings calendar,
- or clicking the Join button via the meetings dashboard, then selecting a recent meeting.
Note: Hosts and participants are permitted to have two meetings running simultaneously in the RingCentral app desktop and web. This applies to instant meetings or scheduled meetings. If a participant or host tries to join a third meeting session, the first attended meeting will automatically disconnect.
Joining a meeting via the meetings dashboard
To join a meeting via the Join button in the meetings dashboard, follow these steps:
- Navigate to Video via the left-hand navigation bar.
- In the Meetings page, click the Join button at the top of the page.
- Enter the Meeting ID or link in the Meeting ID field.
- Click the Join button to open that meeting in a new separate window. If the meeting creator has required a password, provide the password to join that meeting.
- Configure your audio sources in the meeting that opens on your device.
Joining a meeting via the meetings calendar
To join a meeting via the meetings calendar, follow these steps:
- Navigate to Video via the left-hand navigation bar.
- In the Meetings page, hover your mouse over the scheduled meeting and click the Join button that appears at far right.
- Configure your audio sources in the meeting that opens on your device.
If you’ve synced your calendar, you can also use this method to join meetings that were scheduled in that calendar.
Joining a meeting on another video conferencing software
The RingCentral app also supports joining scheduled meetings on other video conferencing software. If you sync your calendar, the following article lists the meeting links that will also have a Join button in the RingCentral app:
Note: Clicking "Join" on any of these supported software meeting links will open the meeting in a new browser window.
Finally, depending on your video service, you will have slightly different options for selecting your audio sources from which you’d like to start your meeting.

Dialing in to a meeting
In addition to joining a meeting, you can also dial in to a meeting using the RingCentral desktop or web app.
Notes:
- Dialing in to a meeting will not allow you to have a camera turned on, nor will you be able to view if someone is sharing their screen.
- You must have phone features enabled at the company account level in order to use this feature.
To dial in to a meeting, follow these steps:
- Navigate to Video via the left-hand navigation bar.
- Hover your mouse over a scheduled meeting and click the More icon that appears on the far right.
- Click the Dial in option via the dropdown menu.
Once you select the Dial in button, your dial pad will open and the system will dial the number and access code associated with the meeting.
Joining via calendar invite
When either you or someone else schedules a RingCentral Video meeting for you, you can choose to use your Google or Outlook calendar to schedule that meeting. These meetings will appear in both your calendar and in the RingCentral app.
We’ll discuss how to join a meeting via your Outlook calendar.
Joining a meeting
- Navigate to your Microsoft Outlook or Google calendar.
- Open the scheduled meeting you need to attend.
- Join the meeting in one of the following ways:
- Click the RingCentral Video meeting link and join the meeting OR
- Copy the invitation link and paste it to your web browser.
- Enter your name in the field.
- Click the Join meeting now button.
- Choose how to join your audio.
Note: If the meeting requires you to be signed in to join the meeting, RingCentral Video will prompt you to sign in using your RingCentral account or to sign up for a free account.
Turning off Team meeting invites for Microsoft Outlook calendars
You may see a Join button for Microsoft Teams when you hover over a meeting in your calendar. You can turn this feature off in your settings.
- Open the Outlook web app.
- Click Settings at the right left corner.
- Select View all Outlook settings. This will open the Settings window.
- Click Calender > Events and invitations.
- Uncheck Add online meeting to all meetings, then click Save.
Joining via the Web Browser
With RingCentral Video, you can join a meeting at any time via your web browser. If you join a meeting via this method, you do not need to have a RingCentral app account created.
RingCentral Video web is supported on the following browser versions:
- Google Chrome 75 and later
- Microsoft Edge 79 and later
Joining a meeting via the web browser
To join a meeting via your web browser, follow these steps:
- Open a browser on your desktop.
- Copy the meeting URL provided by the host in your email or messaging app.
- Paste the meeting URL into the address bar of your browser and press enter.
- Follow prompts to join the meeting.
Note: If the meeting requires you to be signed in to join the meeting, RingCentral Video will prompt you to sign in using your RingCentral account or to sign up for a free account.
Joining via the mobile app
You can join a meeting in the mobile app that has been scheduled either by you or another user in the RingCentral app. Additionally, you can sync your Outlook or Google calendar with the RingCentral app so all your meetings are in one place.

How to join an unscheduled meeting in the RingCentral mobile app
- Navigate to Video via the bottom menu bar.
- Tap the Join button at the top.
- Enter the meeting ID or the meeting link of the meeting you want to join.
- Tap the Join button next to the meeting ID or meeting link.
- Configure your audio sources in the meeting that opens on your device.
Depending on your video service, you will have slightly different options for selecting your audio sources from which you’d like to start your meeting.

Note: When joining a meeting, you have the option to mute yourself by toggling on Don’t connect to audio.
How to join a scheduled meeting in the RingCentral mobile app
How to join via the video menu
To join a meeting, simply tap on the blue Join button next to the meeting’s subject. This will give you the option to turn your camera on and use your device audio.
How to join a meeting on another video conferencing software
You can sync your Outlook calendar with the RingCentral app so all your scheduled meetings are in one place.
The RingCentral app also supports joining scheduled meetings on other video conferencing software. If you sync your calendar, the following article lists the meeting links that will also have a Join button in the RingCentral app:

How to dial in to a meeting
If you only want to listen to the meeting through your phone, you have the option to dial in.
Note: When you dial in, you can only listen to the meeting, your camera is turned off, and you won't be able to view a shared screen
- Navigate to Video via the bottom menu bar.
- Tap the Join button at the top.
- Enter the meeting ID or the meeting link of the meeting you want to join.
- Tap the three-dot icon beside the Join button.
- Select one of the options from the dropdown menu to dial in to the meeting (see below for more info).
- Dial in with RingCentral: This will prompt the RingCentral mobile app to automatically call the meeting’s dial-in number, access code, and participant ID OR
- Dial in with my phone: This will use your mobile carrier and carrier minutes to automatically call the meeting’s dial-in number, access code, and participant ID.
What are the RingCentral Video meeting joining options for mobile
When you tap on the three-dot icon beside the Join button of a scheduled meeting, you will have access to a couple of options for sending an email or message to the meeting participants before joining the meeting.
- Message meeting participants: If the meeting has started, use this option to message participants and inform them that you will be 5 or 10 minutes late, that you want to reschedule, or you can’t make it to the meeting. You also have the option to write a custom message.
- Email meeting participants: If the meeting has started, use this option to send an email to participants and inform them that you will be 5 or 10 minutes late, that you want to reschedule, or you can’t make it to the meeting. You also have the option to write a custom message.
